Sell support by the block. Track every minute. The overage bills itself.
All-In Ledgerly is invoicing and time tracking for small service businesses that work on retainers. Clients buy a block of hours on an invoice; the time you log draws it down; anything over gets invoiced by itself at month end. Your client always knows where they stand.

How retainer hours work in All-In Ledgerly
Put a block of hours on an invoice
Make a service like “Support — 10 hours”. When the client pays that invoice, the hours land in their account automatically.
Log time the way you already do
Timer or by hand, on your phone or desk — or photograph a paper timesheet and let All-In Ledgerly read it. Time logged under that service draws the block down.
Everyone sees where it stands
The client's page shows hours left. One click emails them a report: what they bought, every entry, what's left or what's over. Overage is invoiced for you.
Everything else a small shop needs, with nothing held back for a higher plan
Get paid
- Invoices clients can pay online
- Card or bank transfer through Stripe, no account or app needed on their side. A saved card can auto-pay recurring invoices.
- Recurring invoices
- Monthly hosting, quarterly maintenance — set it once, it sends itself.
- Estimates and proposals
- Send, get accepted with a typed signature, turn into an invoice in one click.
- Reminders and late fees
- Polite reminders before and after the due date, and a late fee that adds itself if you want one.
Track the work
- Time tracking
- A timer with client, service and purpose; one-click restarts of recent work.
- Timesheets from a photo
- Snap a paper sheet or paste a screenshot from your old app — entries come in ready to check.
- Support-hour blocks
- The retainer system above, built in, not bolted on.
- Client portal
- Clients see their invoices, payments and estimates with a link in their email.
Keep the books
- Expenses with receipts
- Photograph a receipt; the total, date and vendor are read off it. Recurring bills add themselves.
- Bank statement import
- Upload the CSV your bank exports; vendors are cleaned up and categorised.
- Reports and a tax-time worksheet
- Profit and loss, and a year-end sheet that says which line each number goes on.
- Daily backups you can download
- Thirty days kept automatically, plus one-click export of everything as CSV.
One price. Every feature.
That's the whole price. Unlimited clients, invoices, time entries and expenses; online payments; the portal; backups. Nothing is saved for a bigger plan because there isn't one. Card and bank-transfer fees are Stripe's usual rates, paid to Stripe.
Need a hand? Setup, moving your data over from another app, or a training session is $40 an hour, billed separately in the same blocks-of-hours way the app does for you. Most people never need it; the app walks you through setup itself.
Questions people ask
- Can I bring my data from FreshBooks or another app?
- Yes. Export clients, invoices, expenses and payments as CSV from the other app and drop the files in; All-In Ledgerly recognises the columns. You can also photograph or screenshot time lists and have them read in.
- Do my clients need an account?
- No. They pay from a link in the email. If they want to see past invoices, they type their email and get a one-time link — no password to forget.
- Where does the money go?
- Straight to your own Stripe account and from there to your bank. All-In Ledgerly never holds your money.
- What happens when the trial ends?
- You pick monthly or yearly and keep going. If you don't, your account goes read-only — nothing is deleted — so you can still export everything.
- Is this for me if I don't sell retainers?
- Yes — it's a complete invoicing, time and expenses app on its own. The hour blocks are there when you want them.
- Who makes it?
- Winstead Media in Dixon, Illinois. It was built to run our own books first, and still does.
